General instructions

Please read carefully the following instructions and the meeting's Code of conduct  before beginning the registration process.

  • Abstracts submission is separate from the registration proccess. Abstract submission is now OPEN, please read the 'Abstract submission' section for further details.

  • If you are so inclined to, please consider making a $10.000 or $20.000 donation to the student travel grant fund. This can be done by adding this amount to the registration fee payment or by making a separate deposit.

  • A proof of payment will be required on the registration form, so please, make sure to pay the fee before starting the registration process. Registration will not be completed until the form and proof of payment are received. See below for instructions of payment and information on registration fees.

* Member fees: To qualify for the Member categories you must be a registered member of SOCHIAS and/or AAA, and the corresponding member's dues must be paid until 2018 inclusive.
Deadline for SOCHIAS membership applications: 2018-08-01. After this date, SOCHIAS cannot warrant that the membership will be processed in time for the meeting.
** The number of late registrations that will be accepted will be limited by the venue capacity. No talks can be proposed at this stage, only posters. Late registrations will not be considered for financial aid. Please note that we may close late registrations at any moment.

Cancellation policy

If you need to cancel your registration, please send an email to reunion <@> sochias <.> cl. Please note that refunds will depend on the date that the cancellation email is received. Dates, fees and refunds are as follows:

- Cancellations received until 2018-05-31 will be fully refunded.
- Cancellations received until 2018-08-30 will receive a full refund minus a $10.000 CLP processing fee.
- Cancellations received until 2018-09-15 will receive a 50% refund.
- Cancellations received after 2018-09-15 will not be refunded.

Who can apply? 
Limited travel funds to support student participation will be available for this conference. Students in need of this kind of assistance to attend the meeting must indicate so in the GRANT FORM. Priority will be given to graduate students offering to contribute talks (preferred) or posters. Recipients will be notified via email along with further details and corresponding paperwork.

When? 
The application deadline for the travel grant is April 18, until noon (12:00pm, GMT-4).

Applicants are requested to complete the following document with additional details about the grant application. Successful applicants will be notified by e-mail.

Abstract submission

Abstract submission

(June 1, 2018) We are happy to announce that we are currently accepting scientific contributions.

As the meeting doubles as the annual meeting for both AAA and SOCHIAS, the AAA’s online system "Sigma" will be used to upload the scientific contributions. This system will also allow for a more expedite compilation of the contributions into meeting proceedings. You need to register into the "Sigma" system. Please note that it may take up to 5 business days for your account to be validated since the author role is assigned by an administratos. You will receive an email notifying you when the role is assigned, please wait for this email. You will only be able to upload your contribution once you receive this notification, so please plan accordingly.

General information for oral presentations

  • A PC laptop, LCD projector, and speaker remote will be available for presentations during the oral sessions. Neverthless, the presenter can use their own laptop.
  • All presentations must be in PowerPoint or PDF format.
  • If you send the presentations, please include your last name, date, time, and session of your talk in your e-mail. The presentations files must be e-mailed to binational2018 [at] gmail [dot] com

General information for poster presentations

  • We expect to have the poster boards ready to be used at the time of the accreditation, on Sunday, Octuber 7. Ideally, the posters should be all set up by the end of that day.
  • You are responsible for printing your poster. If you arrive in La Serena and you have not printed your poster yet, there might be places that could print your poster, but please note that the poster may not be ready by the next day. We strongly advise you to avoid this risk by starting your trip with your poster ready.
  • The LOC will provide adhesive materials and will help you to put up your poster. Please note that the provider of the panels expect that they are not damaged in any way by the end of the conference. Please be ready to use only the materials that will be provided by the LOC for this purpose.
  • Please also note that poster boards will not be located indoors, they will be set up in a tent in the central courtyard of the venue. The organization is not responsible for any damage that might come to posters that are not laminated due to weather.
  • Posters must be removed by the authors by Friday, October 12, at 2 pm. The organization will remove and discard any poster remaining after this time.
  • Posters with frames or scroll structures will not be displayed

Here are some recommendations to keep in mind when preparing your poster: 

  • Font: Arial, Helvetica or Trebuchet for legibility.
  • Title: Bold, 72 pt font size. Sentence case.
  • Author: Italic, 54 pt font size.
  • Main Text: 26 pt font size.
  • References: 20 pt font size.
  • Orientation: Portrait
  • Maximum width: 0.9m

 

Program

The conference will consist of plenary sessions, parallel sessions and poster sessions. The scientific program is expected to be released on August 31, 2018.

This is an international meeting and the official language will be English. We strongly believe that this makes a for a more inclusive meeting to our international colleagues working in different institutions both in Chile and Argentina.

Telescope visits: Some telescope visits are being scheduled for Wednesday 10 starting at 12:30. A minimum fee will be requiredto cover the costs of transportation. More details will be announced soon.

The Second Binational Meeting AAA-SOCHIAS will be held at the Hotel Club La Serena, located close to one of the main touristic attractions of the city: the Lighthouse of La Serena, and it is just 5 minutes away from downtown.

About La Serena

La Serena is a coastal city with 221,000 people (Census 2017). It is the capital of the Coquimbo Region. This city has a privileged climate and is considered one of the main tourist destinations in the country.

How to get to La Serena?

La Serena has an airport called La Florida (LSC), located in the eastern of the city just 15 minutes of downtown (~5 km).

Only 5 minutes from the hotel is the bus terminal of La Serena. This terminal has a direct bus service from Santiago, Valparaiso and Viña del Mar.
It is also used as a transit terminal by buses from northern Chile that go to Santiago. It also has interurban lines that connect La Serena with cities and towns located in the Coquimbo region.
